5.3. Create Calendar Events

If you have imported events by creating an External Calendar Type or Include ICS File Calendar Type, you already have Event records created for you. However, if you haven't imported Event records, or if you want to add additional Event records, you can do so manually from the Backend.

There are six different tabs in the Calendar Event's form. Complete the fields as outlined below and then save and close your work.

  1. Event Type: The default is Event with Description (shown). You can also select Shortcut to Page or Link to External URL to direct a Frontend user to another page when they click on the Event link in the calendar.

  2. Title: This is a required field. Shorter event titles are preferable because they show up better in the default Month View calendar. Note, you can choose to hide this event if you need to.

  3. Start: Designates the first day and time of the event. If the event is an Allday Event, the Start and End Time fields will be omitted.

  4. End: Designates the last day and time of the event.  For recurring events, this is the end time for the first recurrence of the event (typically the same day), not when the event should stop recurring (typically several months in the future).

  5. Calendar: If you have created multiple Calendar records, you can choose which one you want to associate the event with. The options you've set for the Calendar record will determine which Frontend users will have access to this event. (See Using Multiple Calendars in the Advanced section for more information.)

  6. Category: Choose which Categories, if any, you would like to associate the Event record with. The options you've set for the Category and its associated Calendar record will determine which Frontend users will have access to this event. (See Using Multiple Calendars in the Advanced section for more information.)

  7. Teaser: This is an optional field that is only available when the Use Teaser Field option is selected in the Configuration form (see Calendar Base Configuration). Allows a shortened or different version of the event's description.

  8. Description: This is the full description of the event that is available in the Event view.

The Recurrence Tab

The Recurrence Tab contains fields pertaining to repeating events. The default setting is None, so if you're scheduling a one-time event, you can skip this field. The illustration below shows an annual recurrence, but you can repeat events by the Day, Week, Month, and Year. Each of the options includes relevant (and similar) fields. Be sure to save your work when you're finished.

  1. Frequency: Sets the frequency of the reoccurring event. Each selection will change the form's relative options.

    Notice that there are options such as an Until Date that determines how long the frequency will last by setting an end date in the field. You could also set the Count that will determine the number of times a recurrence will appear. The Interval allows you set the event for every-other [year, month, week, day], every-third, every-fourth, etc.

  2. By Day of the Week: Sets the recurring event to a specific day/s of the week. For instance, the first Monday of the selected month (as determined by the By Month field). Click the Add Recurrence icon to add an additional instance.

  3. By Day of the Month: Sets the recurring event to the specific date in the month. For instance, the 3rd or the 22nd. Click the Add Recurrence icon to add an additional instance.

  4. By Month: Sets the recurring event to the specific month/s you choose.

The Location Tab

The Location Tab works either independently or in conjunction with the Location Record (below). By creating Location records, you are presented with the option of using the WEC Map extension that will generate a Google Map complete with directions for the location.

  1. Location, or...: This is the title of the location that will be displayed if you have not created a Location record and chosen it in the Cal Location drop-down menu below. This option can be turned off in the Configuration form (See Calendar Base Configuration).

  2. Cal Location, or...: These options are generated from Location records that you create. If left at None, the displayed location will be generated from the Location field above. If you make a selection here, it will override the above Location field.

  3. Page to link the location to: If you have a page that has a map, directions, or other information on it about the location, you can link to it here. This link will override the Cal Location field and create a link from the Location field.

The Organizer Tab

If your event has an organizer or an organizing agency, you can use the Organizer Tab to provide additional information to your users through these options.

  1. Organizer, or...: This is the title (or name) of the organizer that will be displayed if you have not created an Organizer record and chosen it in the Cal Organizer drop-down menu below. This option can be turned off in the Configuration form (See Calendar Base Configuration).

  2. Cal Organizer, or...: These options are generated from Organizer records that you create. If left at None, the displayed organizer will be generated from the Organizer field above. If you make a selection here, it will override the above Organizer field.

  3. Page to link the organizer to: If you have a page that has more information about the organizer, you can link to it here. This link will override the Cal Organizer field and create a link from the Organizer field.

The Files Tab

If you want to attach files or to display images to your events, you may do so here. By default, Images and files will only be displayed in the Event view.

  1. Images: Upload or select images previously uploaded here. You may include multiple images.alt-text: Displayed in some browsers as a tool-tip on mouse-over events. If you have multiple images, alt-text entries must be listed on separate lines.title-text: Displayed in some browsers as a tool-tip on mouse-over events. If you have multiple images, alt-text entries must be listed on separate lines.

  2. Caption: Adds a caption beneath each image. If you have multiple images, alt-text entries must be listed on separate lines.

  3. Files: If you want to add a downloadable file, such as a PDF file, you may upload or select a previously uploaded file here.

The Other Tab

The Other Tab offers three miscellaneous options .

  1. Fe-users to be notified...: If Frontend users have subscribed to events, their usernames will appear here. In addition, if you wish to subscribe particular users to the event, you can manually select them from existing users in the General Storage Folder.

  2. Exception events: Exception Events are generally used in conjunction with Recurring Events. Exception Events are days on which you don't want a recurring event scheduled. For instance, skipping the Quilting Group's event on Christmas day. If you have created Exception Event records or Exception Event Groups, you can select those here.

  3. Share this event with another user: If you have allowed Groups of Registered Frontend users to edit events (see the TypoScript reference section), you can allow individual registered users from other groups to edit this event if you desire by adding their Website user name here. Note: Frontend editing (in the Constant Editor) must be enabled for this option to function.
